Every Salesforce migration is different. The org size, the data complexity, the staff readiness — it all varies. But after working through these transitions with nonprofits, certain lessons show up every single time. These are the ones we carry into every engagement.

  • Leadership commitment changes everything. We ask early about who owns this at the leadership level. When the CEO is genuinely invested and not just aware, the project has budget, staff capacity, and organizational momentum behind it. Without that, even a technically sound implementation struggles to land.

  • Preparation is not a delay. It is the work. The instinct is to get moving quickly. We push back on that every time. The organizations that invest real time upfront in planning, surfacing dependencies, and bringing staff along before the transition begins are the ones that come out the other side in good shape.

  • Build for where the platform is going. When we help clients choose between a familiar solution and something newer, we help them think long term. The right answer is not always the most comfortable one today.

  • Simplify before you migrate. Moving everything over is tempting. We encourage clients to resist it. A migration is one of the best opportunities to archive what no longer serves you and start fresh with data you actually trust.

  • Adoption is a journey, not a moment. We say this often at Heiwa because we have seen what happens when it is treated as a checkbox. Go live is mile one. Ongoing office hours, written guides, and one on one support are what turn a launched system into one people actually use.

  • Governance protects the investment. When departments share a single platform, what one team does affects everyone else. Helping clients build a structure to coordinate and think through those decisions is part of how Heiwa makes sure the work lasts.
